Nomination and Application Process

Welcome to the International Students Office website, dedicated to the Erasmus+ Incoming Students. We are delighted that you've decided to explore this page! Whether you've already chosen the WSB University as your exchange destination, or you are still considering it, we are excited to guide you through the opportunities of studying in Poland. We hope you find this website to be a comprehensive resource, providing all the essential information about the Erasmus+ exchange at WSB University.

  • NOMINATION PROCEDURE

    Before embarking on your adventure at WSB University, there is an essential procedure to follow. First, you must be nominated by your Erasmus+ Coordinator at your home institution. All nominations should be submitted to gweglarz@wsb.edu.pl and mkasjaniuk@wsb.edu.pl. Please note the following nomination deadlines:

    Full academic year / Winter term: 15th May

    Summer term: 15th November

    The nomination should include the nominee's full name, surname, and an email address through which we can contact them. Additionally, we request that the student's field of study be specified. If the nominee has any special needs, please inform us at this stage, so we can ensure all necessary arrangements are made in advance.

    Once we receive your nomination, we will get in touch with you shortly. However, if you haven't received any feedback from us before the application process begins, please feel free to reach out and contact us.

  • APPLICATION PROCEDURE

    Step 1.

    To begin your registration, kindly proceed to the end of this page.

    Click Registration - you should see the following in the box:

    • Name
    • Surname
    • E-mail
    • Phone number

    Kindly make sure that no mistakes are made in these fields during the registration. Your name and surname should be written as in your international passport. Your email should be easily accessible and checked constantly, for all information you will receive through it. Your phone number should start with a symbol ‘+’ and then followed by the country code. A Polish phone number would look the following way: +48 777 666 555

    Please check the fields of the GDPR and then click the Submit button.

    Our system will send you your login details in the next 72 hours. Please check your inbox regularly in order not to miss anything. Make sure to check your ‘spam folder’ as well!

     

    Step 2.

    Complete your registration.

    Follow the link you received in your email and log in to your profile using the login details you received when you activated your account. Go to the Personal Details section and fill it in completely.

    • In the responsible person section please input the name and surname, plus an email of your International coordinator.
    • Please select 'Jestem Obcokrajowcem', which means 'I am a foreigner'.
    • In the 'Pochodzenie' please write out your nationality if it is different from your country of birth. If not, please leave this field as it is.

    Now upload your photo into the system. Please remember that this photo will be used for your student ID hence, so it should be done in a proper way. This means it should have a white background with your face clearly visible. Your passport photo would be the best solution. You may edit the photo for best results.

    Please provide your residence address in your home country.

     

    Step 3.

    Upload the necessary documents.

    Go to 'My registrations' and press prints or this sign .
    We kindly ask you to upload the following documents:

    • Your International passport
    • Your insurance (can be done later)
    • Your transcript of records from your previous semesters or confirmation of your student status in your home university.

    Please make sure that all documents are in a PDF format and are readable.

     

     

    Once all of the above steps are completed please reach out to either to gweglarz@wsb.edu.pl for finalisation of your application. In return we will send you the list of available subjects based on your transcript of records.

  • IMPORTANT DOCUMENTS

    Letter of Acceptance

    After Eramus+ Coordinator from WSB University accepts your application, you will soon become our exchange student and you will receive an Acceptance Letter. Acceptance Letter will be sent to you via e-mail.

    Learning Agreement

    The sending institution should provide the Learning Agreement form. Or you can use the form provided by WSBU.

    The document should be firstly prepared with your Erasmus+ Coordinator from sending institution. Then, after it's approved, you should send it to your Erasmus+ Coordinator from the host institution.

    We don't need you to earn any particular number of ECTS during your stay. We advise you to earn around 30 ECTS per semester. But you may as well earn less or more.

    Don't worry if you are still unsure about which courses you want to participate in during your stay. You may change your choice up to one month after the beginning of the semester. To do that, you must fill in the During the Mobility part of the Learning Agreement.

    We don't have a deadline to complete the Learning Agreement. However, we suggest you have it ready and signed at least one month by the start date of mobility.

    COURSES FOR INCOMING STUDENTS

     

    Confirmation of Mobility

    The Confirmation of Mobility may be referred to by different names, such as Certificate of Attendance or Participation Certificate. It can also be issued as two separate documents: Confirmation of Arrival and Confirmation of Departure.

     

    This document can typically be provided by your sending institution, but you can also request it from the host institution. We recommend obtaining the confirmation as soon as possible after your arrival and departure.

     

    Please note:

    • The departure date on the document can be indicated no more than 7 days after the date of signing.
    • The earliest possible arrival date is the first day of the Orientation Week (which varies each year and semester).
    • The latest departure date is the last day of the semester.

    Transcript of Records

    Transcript of Records is the document the International Students Office can issue at the end of your stay. You should write a request to mkasjaniuk@wsb.edu.pl or visit our office personally to receive it.

    This document can be issued only after you pass all the exams and your grades appear in the system. If some grades are still missing, they won't appear on your Transcript of Records
